Before you begin
Identify the intended audience, business purpose, duration, and exact columns or views needed. Review every row and field for internal notes, customer information, financial details, credentials, or unrelated records. Confirm that an approved supplier connection exists when sharing through supplier collaboration.
How it works
Spreadsheets support organization collaboration through shared tables, views, layouts, and configured supplier-visible resources. Organization settings control which supported spreadsheets are made available through an active supplier relationship. Sharing a spreadsheet is deliberate external access, not a general module permission.
Step-by-step
- Open the spreadsheet and confirm its organization and owner.
- Create or select a view containing only the information required for collaboration.
- Remove or hide unrelated sensitive columns and inspect formula outputs for indirect exposure.
- Review rows for customer data, internal comments, and commercial information outside the purpose.
- Confirm the intended recipient or active supplier connection.
- Open organization supplier collaboration settings when external sharing is required.
- Select the supported spreadsheet resource deliberately.
- Verify the shared result from the organization-side resource list.
- Tell collaborators the purpose, expected updates, and ownership of follow-up.
- Review sharing when the project ends or the spreadsheet’s contents change.
Check your result
Only the intended spreadsheet or view is shared, its visible information matches the collaboration purpose, and the organization retains control of the source. Unrelated spreadsheets and internal fields remain unavailable.
Common problems
The spreadsheet is not available to share: verify active connection, organization ownership, supported sharing controls, and your administrative access.
A hidden field is still exposed through a formula: inspect calculated outputs and linked columns, not only visible source columns.
The recipient sees stale information: confirm whether the shared resource is live, refreshed, or based on a saved layout.
The purpose has ended: remove the resource from sharing controls and record the change.
