Spreadsheets

Create flexible organization tables with custom columns, linked records, formulas, views, templates, and sharing.

What this module does

Spreadsheets lets an organization build custom data tables inside CapitalOS. A spreadsheet can contain manual values, configurable field types, formulas, links to CapitalOS entities, saved views, reusable templates, and module pins.

The feature includes a spreadsheet list, detail grid, column management, a visual column builder, template gallery, layout import and export, and organization column library.

When to use it

Use Spreadsheets for structured information that does not belong entirely inside a fixed module grid, or when the team needs a tailored working view that connects manual data with CapitalOS records.

Do not copy sensitive information into a custom spreadsheet merely to bypass a module permission. Linked source data and supplier visibility remain subject to their configured boundaries.

How it fits into CapitalOS

Rows can link to supported CapitalOS entities such as products, SKUs, or orders. Linked columns can display source fields while manual and computed columns add organization-specific context.

Spreadsheets can be pinned into supported module tabs. Organization users can also manage templates, layout packages, and the spreadsheets explicitly shared with connected suppliers.

Main concepts

  • Spreadsheet schema: the set and order of columns that define the table.
  • Column type: text, number, date, selection, SKU, order, linked, formula, or another supported field behavior.
  • Linked source: a CapitalOS module, table, and field used to display connected data.
  • Formula: a computed column with declared dependencies on other columns.
  • Saved view: a stored combination of filters, sorting, columns, and visibility for a user or supported audience.
  • Template: a reusable spreadsheet structure created from a published layout snapshot.
  • Pin: a placement that exposes a spreadsheet inside a supported module.
  • Layout share: a controlled package for sharing or importing spreadsheet structure.

Typical workflow

  1. Create a spreadsheet with a clear name and purpose.
  2. Add manual, linked, and computed columns using column management or the builder.
  3. Add rows or connect rows to supported CapitalOS entities.
  4. Enter manual values and verify linked data.
  5. Configure formulas only after their dependency columns exist.
  6. Apply filters, sorting, column order, and visibility.
  7. Save a view for recurring work.
  8. Pin the spreadsheet to a module, publish a template, or share a layout when appropriate.

Permissions and prerequisites

You need Spreadsheets access for the organization. Linked fields also depend on access to their source module and on valid entity matching.

Layout sharing codes should be handled as controlled access information. Supplier-visible spreadsheets must be selected intentionally in organization settings.
